Class of 2024 Quota Reduction Temporarily Delayed
For UCLA Class of 2024 graduates, the standard procedure involves a reduction in your Google Workspace Permanent Baseline Quota from 20GB to 5GB upon transitioning to alumni status. Simultaneously, access to Google Drive is typically disabled, leaving your account for email use only.
However, this service adjustment and quota reduction is temporarily postponed. We understand this transition period is important, and we are committed to providing timely updates regarding the confirmed date for your quota to be reduced to 5GB and for your service to shift to email-only access. For the time being, your Permanent Baseline Quota will remain at 20GB, and your access to Google Drive will continue without interruption, until further notice.
It is important to be aware that starting September 5, 2024, accounts exceeding the Permanent Baseline Quotas will face service disruptions. Currently, accounts with storage usage exceeding 20GB are being disabled. If your account is disabled and you are unable to log in to Google Workspace, please contact help@it.ucla.edu for immediate assistance.
Although this reduction is temporarily delayed, it is crucial to continue managing your storage. Please take this time to reduce your storage consumption and transfer any data from your Google Drive that you wish to retain. The eventual quota reduction to 5GB and transition to email-only service is still planned – prepare your account now to ensure a smooth transition.
Summary of Service Impacts for the Class of 2024
As of June 27, 2024, the Class of 2024 retains student affiliation within UCLA’s Google Workspace, maintaining the assigned baseline quota of 20GB. This quota applies to both your Google Mail and Google Drive accounts during this period.
Typically, starting in July 2024, according to the Registrar’s office, the Class of 2024 would formally transition from “Student” to “Alumni” affiliation. This change would trigger a reduction in your Permanent Baseline Quota to 5GB and the disabling of Google Drive, limiting your UCLA Google Workspace service to Google Mail only. This 5GB limit would then apply to your Google Mail account.
However, as previously mentioned, this reduction and change in service is currently delayed. We will continue to provide updates on the confirmed timing for the eventual quota reduction to 5GB and the service change to email only. In the interim, your Permanent Baseline Quota remains at 20GB, and access to Drive is temporarily maintained until further notice.
It is important to note that accounts already exceeding their Permanent Baseline Quotas are currently experiencing service interruptions. For these accounts, UCLA Google services have been placed in a read-only state until storage usage is reduced to within the quota limits.
Furthermore, starting August 1, 2024, accounts exceeding their Permanent Baseline Quotas are receiving inbound emails tagged in the subject line as a reminder of their over-quota status. These accounts will also be logged out daily as a further prompt to manage storage.
As of September 5, 2024, Class of 2024 accounts with storage usage above 20GB will be disabled. To reiterate, Class of 2024 accounts exceeding 20GB storage are currently being disabled. If you are experiencing account disablement and cannot access Google Workspace, please contact help@it.ucla.edu for support.
If your Google Workspace storage is currently under your Permanent Baseline Quota, no immediate action is required unless you receive specific email notifications regarding your account. Maintaining your Google Workspace storage usage below your Permanent Baseline Quota will prevent service interruptions.
Google Photos Access Discontinued on June 27, 2024
Please be aware that the Google Photos application is not manageable by UCLA. Therefore, access to the Google Photos application was disabled on June 27, 2024. New Google Workspace accounts will not have access to Google Photos.
Recommended Next Steps
To prepare for the eventual quota reduction and service changes, it is highly recommended that you:
- Review your Google Drive content: Identify and delete any unnecessary files, especially large files or duplicates.
- Download important files: Transfer any essential data from your Google Drive to a personal storage solution.
- Monitor your storage usage: Regularly check your Google Workspace storage to stay informed of your current usage.
